About the role
Lighthief Cyprus Ltd is seeking an experienced Event Project Manager on a fixed‑term contract to own the planning and delivery of the Cyprus Energy Summit 2026, an invite‑only two‑day high‑level conference in Limassol. The role reports directly to the Cyprus Director and requires hands‑on coordination with venue teams, sponsors, speakers and internal stakeholders.
Key responsibilities
- Manage end‑to‑end delivery of the summit against the event budget, including venue setup, AV, catering, accommodation blocks and on‑site logistics.
- Build and maintain the master project plan, timeline and action log, tracking all open items to resolution.
- Coordinate speaker and VIP delegate programmes, handling invitations, travel, briefing documents and scheduling for ministerial and diplomatic guests.
- Support sponsor relations, delivering commitments for Platinum, Gold, Media Partner and Silver sponsors and liaising with media partners.
- Oversee delegate invite list (80‑120 named guests), RSVPs, dietary requirements and name‑badge production.
- Drive event marketing execution with the communications team, including Instagram content, LinkedIn campaigns and press‑release distribution.
- Produce and manage all printed and branded event materials such as programme booklets, signage and sponsor boards.
- Prepare post‑event report covering attendance, budget outturn, media coverage and lessons learned.
Required profile
- Proven experience managing high‑profile corporate, institutional or government events, preferably with ministerial, diplomatic or C‑suite delegates.
- Strong supplier and venue management skills, including negotiation with 5‑star hotel event teams and coordination of AV, catering and production vendors.
- Demonstrated budget management competence, able to build cost models, track spend in real time and stay within a fixed net budget.
- Bachelor’s degree in Event Management, Business, Marketing, Communications or equivalent experience.
- Interest or background in the energy, infrastructure or sustainability sector is a distinct advantage.
Required skills
- Proficiency with project‑management tools such as Notion, Asana or Trello.
- Advanced use of Microsoft Office and Google Workspace.
- Experience coordinating digital marketing assets (Instagram, LinkedIn) in an event context.
